JOB DESCRIPTION

Position Requirements
  •  Strong office management/administrative skills required
  •  Exceptional organizational skills, initiative, and a quick learning ability
  •  Strong computer skills (all Office software required, bookkeeping software and database management skills a plus)
  •  Strong communication skills, written and verbal
  •  Ability to multitask and prioritize work in a time-sensitive environment
  •  Excellent attention to detail
  •  Positive attitude
  •  Ability to work well independently and in a team environment
  •  Ability to maintain confidentiality and understand the importance of discretion and diplomacy
  •  Real estate, mortgage, or escrow office experience required
  •  Marketing or advertising experience a plus
  •  Real estate licenses active or inactive
  •  Experience with Microsoft office 
  •  Works quickly and accurately

Key responsibilities

Clients
  •  Complete activities in database management system daily
  •  Revise and update 'checklists in database 
  •  Respond to client inquiries
  •  Handle correspondence
  •  Update and manage client database
  •  Maintain client files 
  •  Conduct transaction-related activities
  •  Client care/listing management
  •  Create comparative market analyses
  •  Closing coordination
  •  Completes Client Checklist as required
  •  Delivers weekly assignments 
  •  Completes Daily Tasks List
  •  Inputs clients lists
  •  Prepares listing packages
  •  Updates buyers manual, listing manual, and policy and procedures

Marketing
  •  Manage creation and distribution of marketing materials
  •  Review and update marketing materials as needed
  •  Provide project updates and reports each week
  •  Manage Telemarketing

Office
  •  Monitor office supplies and purchase as necessary
  •  Run errands as necessary
  •  Maintain procedures manual 

Technology
  •  Sets up and maintains new technology systems
  •  E-edge, Google docs, Gmail, multiple online systems,

Planning
  •  Complete number tracking, goals and planning form each week 
  •  Track progress and improvements needed perform employee reviews 

Management
  •  Oversee team of administrative staff
  •  Oversee execution of marketing and administrative plans
